Fleet Personnel Training Administrator

Job Description

  • Monitoring of training records received from the fleet, ensuring same are assigned to each seafarer’s records.
  • Taking ownership of the Group’s Apprentice Officer and Cadet training scheme, prepare and maintain training plans and on-board assignments based upon the individual Cadet schemes involved, liaising with other department members as logically applicable, follow Cadet’s written and practical projects assigned whilst on board and any related issues as assigned by the Group Fleet Personnel Manager.
  • Updating the onboard training library for new vessels as well as maintenance for the existing fleet against approved listings.
  • Using known education principles, keep up-to-date on new training methods and techniques, maritime industry training and assessment initiatives, bringing to Group Fleet Personnel Manager notice anything seen to be of potential interest.
  • Designing and/or preparing and/or ordering educational aids, materials and courses as may be identified and agreed from time to time.
  • Assigning necessary course schedule/s of crew members into Compas as per the Group’s training matrix requirements and with the advice of the Group Fleet Personnel Manager.
  • Organising, updating, controlling and monitoring all crew training records in compliance with Company and regulatory requirements.
  • Planning, arranging & co-ordinating Fleet Officer’s Meetings at the Manning Offices within the requirements of the agreed schedule.
  • Updating seafarers’ qualification in company software, if and when required, after completion of training.
  • Ensuring that the expiry date of seafarers’ documents is regularly and correctly done to reflect the current qualifications status of the crew.
  • Offering administrative support when needed;
  • Ensuring the safe keeping of confidential information, displaying discretion when dealing with matters of confidence and ensuring confidential documents are distributed, stored and destroyed effectively;
  • Acting as the back up in the absence of the Fleet Personnel Administrator;
  • Carrying out any other additional task assigned by Group Fleet Personnel Manager.

Requirements

  • University Degree in Shipping/Maritime Studies/Business Administration or any other related field.
  • Excellent command of the Latvian, English, Russian languages.
  • Computer proficiency in word processing, spreadsheets, presentations, communication (e. g., Microsoft Word, Excel, Outlook and SharePoint).
  • Excellent communication and interpersonal skills and high sense of responsibility.
  • Very good communications and controlling skills.
  • Able to work under pressure, take initiatives and meet demanding requirements.
