Zoku, which is Japanese for family, tribe or clan, facilitates global living and working for the traveling professional. Zoku is a new category in the hotel industry: a flexible home/office hybrid, also suitable for long stays, with the services of a hotel and the social buzz of a thriving neighbourhood. Do you love to work with people but also get a kick out of administrative tasks and organizing and planning? We have the perfect mix for you! We have an awesome Zoku culture and as the Human Resources coordinator you will be the guardian of it. You will be organizing recruitment days, be responsible for the entire onboarding journey of all new Zokus for our property in Vienna and will be arranging team events. Your most important task will be to make sure that all Zokus are in a happy place, love what they do and help them be at their best! Do you also have a have flair for numbers? Our centralized accounting department in Amsterdam needs your help with the local financial administration. You will be responsible for the cash in the hotel together with invoice and mail scanning.
You will report to the General Manager of Zoku Vienna, while working closely together with the centralized Finance and HR teams, based at the Home Office in Amsterdam. The HR Coordinator position is a part time position, approximately 20 hours per week.
We will be opening our second location in Vienna, Austria, in, Q1 2021. Located in the central Second District of Leopoldstadt, Zoku Vienna will be close to the Vienna University of Economics and Business, the Messe Wien Conference Center, and the iconic Prater park. The HR Coordinator role will firstly be focused on the preparation of the opening, followed by opening the property and then operating it.
Requirements
As the HR coordinator, you will be trained to become a versatile all-round HR employee with exposure to various areas within Finance.
Overview of the HR tasks you will be responsible for:
- Be the guardian of the Zoku culture
- Plan and organize Zoku’s monthly events calendar
- Handle the on-boarding of all new Zokus
- Draft up local HR policies and execute and implement SOP’s
- Organize the recruitment and hiring together with the General Manager
- Ensure all Zokus are happy and healthy individuals
- Complete the month end payroll to hand over to our 3rd party pay processor, together with our centralized HR team, based in Amsterdam
- Ensure proper and continuous training and development of the team
- You will be responsible for the proper administration of all staff related topics, using our HRM system called BambooHR
- Ensure proper contracting of all employees of Zoku Vienna
- Make sure we apply the right labour law and follow the applicable labour agreement of the union

Overview of the Finance tasks you will be responsible for:
- Cashiering (managing cash floats and drops). You will be the main contact for the cash pick up company
- Sorting and scanning invoices or other general mail which Zoku in Amsterdam needs to take care of

MUST HAVES
- You have experience in Human resources and with the Austrian labour law
- You are fluent in both German and English, other languages are a plus
- You are an EU resident or have a valid working and living permit for Austria
- You are available to work at least 20 hours
